Welcome to The Supple Equine Club (“SEC”). These Terms & Conditions apply to all services, assessments, therapies, memberships, bookings, consultations and use of our website or booking systems.

 

By booking an appointment, becoming a member, using our services or accessing our website, you agree to be bound by these Terms & Conditions.

 

If you do not agree with these Terms, you should not use our services.

1. DEFINITIONS

 

1.1 In these Terms:

 

“SEC”, “The Supple Equine Club”, “we”, “our” or “us” means The Supple Equine Club.

 

“Client”, “you” or “your” means the owner, rider, trainer, agent or person booking or using our services.

 

“Horse” means any horse, pony or equine presented to SEC.

 

“Services” means all assessments, therapies, consultations, gait analysis, monitoring, memberships, educational services and related equine services provided by SEC.

 

“Membership” means any recurring or annual subscription service offered by SEC.

 

“Objective Gait Assessment” means the use of AI-assisted or technology-assisted movement analysis systems as part of the assessment process.

 

“Therapies” may include, but are not limited to:

 

* Mesotherapy

* Shockwave therapy

* Acupuncture

* Musculoskeletal assessments

* Rehabilitation monitoring

* Performance monitoring

 

“Veterinary Surgeon” means the horse’s primary attending veterinary surgeon.

 

“Writing” includes email, SMS, WhatsApp or other electronic communication.

 

“Force Majeure Event” means circumstances beyond our reasonable control including illness, equipment failure, severe weather, transport disruption, fire, flood, strike, terrorism or acts of God.

 

 

2. SERVICES PROVIDED

 

2.1

 

SEC provides welfare-focused equine assessment and therapy services designed to support performance, rehabilitation and longitudinal monitoring.

 

2.2

 

SEC provides limited emergency support for existing clients and horses under our care or monitoring programmes.

Please note that SEC is not a fully equipped equine hospital and our diagnostic capabilities may be limited compared with a referral or hospital facility. Advanced imaging, surgical procedures, intensive care and certain emergency diagnostics may not be available on site.

 

Where clinically appropriate, horses may require referral to:

 

* the horse’s primary veterinary surgeon;

* an equine hospital;

* or an external referral centre.

 

SEC reserves the right to recommend immediate referral where this is considered in the horse’s best welfare interests.

 

2.3

 

Horses remain under the care and responsibility of their primary veterinary surgeon at all times.

 

2.4

 

Our assessments and therapies are intended to support, not replace, veterinary diagnosis or treatment.

 

2.5

 

We reserve the right to refuse treatment or assessment where:

 

* the horse presents a safety risk;

* welfare concerns arise;

* sedation is inadequate;

* clinical presentation requires referral;

* or treatment is deemed inappropriate.

 

2.6

 

Appointment times are approximate and may vary depending on clinical requirements.

 

 

3. MEMBERSHIPS & PRICING

 

3.1

 

Membership prices, treatment fees and consultation charges are displayed on our website or booking platform and may be updated periodically.

 

3.2

 

Current fees may include:

 

* Membership assessments

* Objective gait analysis

* Mesotherapy

* Shockwave therapy

* Acupuncture

* Rehabilitation monitoring

 

3.3

 

All prices are inclusive of VAT where applicable unless otherwise stated.

 

3.4

 

Payment is required in full before or at the time of appointment unless otherwise agreed in writing.

 

3.5

 

Memberships are non-transferable.

 

3.6

 

Unused appointments included within memberships cannot normally be carried forward unless agreed at SEC’s discretion.

 

 

4. BOOKINGS & ENQUIRIES

 

4.1

 

Submitting an enquiry does not guarantee an appointment.

 

4.2

 

Bookings are only confirmed once:

 

* payment has been received where required; and/or

* written confirmation has been issued by SEC.

 

4.3

 

Clients are responsible for ensuring:

 

* horses are fit to travel;

* horses are safely handled;

* accurate clinical history is provided;

* relevant veterinary information is disclosed.

 

4.4

 

Failure to disclose relevant medical or behavioural information may result in cancellation of the appointment without refund.

 

 

5. PAYMENT TERMS

 

5.1

 

All invoices must be paid in accordance with the payment terms stated.

 

5.2

 

Late payments may result in:

 

* suspension of memberships;

* cancellation of future bookings;

* refusal of further services.

 

5.3

 

SEC reserves the right to recover any reasonable administrative or legal costs associated with unpaid invoices.

 

 

6. CANCELLATIONS BY SEC

 

6.1

 

SEC reserves the right to cancel or reschedule appointments due to:

 

* clinician illness;

* welfare concerns;

* unsafe conditions;

* equipment failure;

* Force Majeure Events.

 

6.2

 

Where possible, alternative appointments will be offered.

 

6.3

 

Our liability for cancelled appointments is limited to refunding fees already paid for the affected appointment.

 

 

7. APPOINTMENT ATTENDANCE

 

7.1

 

Clients must ensure horses are presented safely and handled by competent persons.

 

7.2

 

SEC reserves the right to refuse assessment or treatment where:

 

* the horse is dangerous;

* handling is unsafe;

* sedation is insufficient;

* welfare standards are compromised.

 

7.3

 

Any sedation required remains the responsibility of the horse’s primary veterinary surgeon unless otherwise agreed.

 

8. CLIENT CANCELLATION POLICY

 

8.1

 

Appointments cancelled with less than 48 hours’ notice may be charged in full.

 

8.2

 

Failure to attend an appointment (“no-show”) may result in the full appointment fee being charged.

 

8.3

 

Membership fees are non-refundable once the membership period has commenced unless otherwise required by law.

 

 

9. CLINICAL DISCLAIMER & LIABILITY

 

9.1

 

All equine activities involve inherent risk. Clients acknowledge that horses may behave unpredictably.

 

9.2

 

SEC shall not be liable for:

 

* injury to horses, owners, riders, handlers or third parties except where caused by proven negligence;

* indirect or consequential losses;

* competition losses;

* loss of earnings;

* transport or travel costs.

 

9.3

 

Objective gait analysis technology is an adjunctive assessment tool and does not constitute a definitive diagnosis.

 

9.4

 

Clients remain responsible for obtaining veterinary diagnosis and treatment where clinically indicated.

 

9.5

 

Recommendations provided by SEC are professional opinions based on the information available at the time of assessment.

 

 

10. REFUNDS

 

10.1

 

Refunds will only be considered:

 

* where services cannot reasonably be delivered;

* where required by law;

* or at SEC’s discretion.

 

10.2

 

No refunds are provided for completed services.

 

10.3

 

Deposits may be non-refundable unless otherwise agreed in writing.

 

 

11. DATA PROTECTION & PRIVACY

 

11.1

 

SEC processes personal data in accordance with applicable UK data protection legislation.

 

11.2

 

Clinical records, photographs, videos and gait analysis data may be stored securely for clinical, welfare and monitoring purposes.

 

11.3

 

CCTV may operate in communal stable and treatment areas for safety and welfare purposes.

 

11.4

 

SEC does not use facial recognition technology.

 

11.5

 

Client data will not be sold or shared with third parties except:

 

* where legally required;

* for insurance purposes;

* or with client consent.

 

 

12. WEBSITE USE

 

12.1

 

All website content remains the intellectual property of SEC unless otherwise stated.

 

12.2

 

You may not copy, reproduce or commercially exploit website material without written permission.

 

12.3

 

Website information is provided for general guidance only and should not replace veterinary advice.

 

 

13. GENERAL PROVISIONS

 

13.1

 

These Terms are governed by the laws of England and Wales.

 

13.2

 

If any provision of these Terms is found unenforceable, the remaining provisions shall remain valid.

 

13.3

 

SEC reserves the right to amend these Terms at any time.

 

13.4

 

The latest version of the Terms & Conditions will always apply to future bookings and memberships.
